Meeting January 31st, 2010
Present: Miro, Tom, Charlie, Harold, Tanya, Emma, Mike, and John

Harold spoke first - glad to be among fellow dancers
Charlie - interested in contributing in an organizational capacity
Tom - Involved with the food and hoping to discuss banning issue, limited availability
John - willing to help out if needed in areas of promotion
Mike - interested in helping out on days leading up (and day of) preparing for jam
interested in a system for dealing with issues
interested in discussing banning issue
Tanya - wants to see Ontario jam happen again this year! Limited energy and time. Interested in talking about banning issue - brought up similar discussions happening elsewhere - and shared the types of formats they are using (men's circle and women's circles in Montreal, Earthdance has no policy on banning. Also raises that 'policy' may not be appropriate seeing as a central tenet of contact is to take care of ones self). She is interested in creating a dialogue around issues.
Emma- happy to contribute again to food production, interested in introducing a conflict mediation process. Not available until May.
Miro - Desires a fair and inclusive process. Sees his role as "pushing" things to keep moving. Interested in guideline and boundary exploration. Hasn't found an adequate dialogue around ethical touch among facilitators of the jams nor the contact community. Is interested in roles of communication/administration/structure. Hopeing to make a dance space work eventually at his farm. Wants to develop trust and mutual dialogue.
Review of last year's jam - taking what worked from last year - discussion of amendments
Organization - finances ran through one person - Yves
- should create an Ontario Regional jam account.
- What assets do we have from last year?
- We need an accountant
Registration- Suzanne was on billeting - not available this year. Need a billeting coordinator - Charlie agrees to take this role (Mike as backup)
- registration through Yves- is he available again this year?
- Goal to have things set up for people to be able to register and pay for a ticket by beginning of March
Food
- Need for methods of maintaining food temperatures (whether hot or cold) - may want to rent a steam table and coffee urns?
- refrigerator space
- May not have access to last year's catering equipment
- Had wonderful transportation from Michael and Miro last year - would this again be possible?
- Miro offered to again obtain food from local rural sources. Â
- Wish list for equipment by March
- Desire for Kitchen volunteers again this year - need to come up with a kicthen schedule again (by May?)
Outreach/Promotion
- ad/flyer already sent out by Tanya - what did it say - can she send out to group?
- Website
- Can we indeed use the space on the last weekend of May? Ask Taeji and Erica about switching (or absorbing their events into ours)
- Programming
- - Warm ups worked well last year
- Yves class was well liked
- One on one’s were not well attended – but with more promotion this year they might be, they are very useful
- 2nd floor stood empty a lot
- Some workshops started late – maybe need a bell to notify people – or a posted schedule with clock.
- Tanya doing programming role?
- Outreach for facilitators should be wide – to gather broader participation
- How with teachers benefit from working with us? Will they get in free? Will the fees be separate? Will they get a % of the profit?
- How much can we off teachers at this time?
- One-on-one dance helpers given a discount as incentive to come?
- Any teachers willing to volunteer to teach for shorter periods?
- Need for a programming committee – Tanya, Yves, Mike
Flyer:
- Need to update website
- John will make a facebook event
- Flyer design – Michael N?
- Distribution – at jams, Dovercourt house, facebook, P’s network, flyers handed out at events, a bundle given out to people at jams to bring elsewhere.
Location:
- Will be at Dovercourt house – last weekend of May – Mike will talk to Taeji and Erica.
Banning:
- Two needs – one for an open forum discussion to get thoughts off chests, another for coming up with a process for the future.
- Gene – set up two meetings (addressing the above needs?)
- A – still in process around banning – invite to above discussions?
- Peace council formation – outreach to Henry, Carolyn, David Jan…
